Guideline for Oral Session Chair


  Before Your Session
1. Check the Program
• Prior to the conference, please check the program on the online ICOIN 2026 proceedings (https://icoin.org/program_proceeding) to confirm the time slot, room, and list of papers assigned to your oral session.

2. Arrive Early and Prepare the Session
• Please arrive at the session room at least 10 minutes before the session starts.
• Check the presentation room environment, including the beam projector, laptop computer, and other basic facilities.

3. Meet the Speakers
• Introduce yourself to the presenters in your session and confirm their attendance.
• Speakers are instructed to arrive at least 10 minutes early and copy their presentation files to the session room laptop.

4. Understand Time Allocation
• The presentation time depends on the number of papers in the session.
• For example, 5 papers in a 100-minute session: 17 minutes presentation + 3 minutes Q&A
• Please strictly manage the time to ensure a smooth session.

  During Your Session
1. Opening the Session
• At the beginning of the session, briefly introduce yourself, announce the session title, and explain the presentation and Q&A time policy.

2. Session Management
• Introduce each speaker before their presentation.
• Keep track of time carefully and signal speakers when their presentation time is nearly over.

3. Q&A Moderation
• Moderate the Q&A session fairly and efficiently.
• If necessary, limit the number of questions to stay on schedule.

4. Absent or Online Presentations
• If a speaker does not appear without prior notice, proceed to the next paper.
• If an online presentation has been registered at the online ICOIN 2026 proceedings (https://icoin.org/program_proceeding), play the pre-recorded video (15–20 minutes) provided by the author.
• Live online presentations (e.g., Zoom) are not supported.

  After Your Session
1. Report Issues
• If there were absent presenters or any notable issues during the session, please report them to the conference secretariat at the registration desk.

2. Submit Chair Report
• Please complete the Chair Report using the Google Form below after your session: https://forms.gle/fJJnijqNm2DdYSQV8
